Recruitment privacy notice

Updated 2026-10-24. Airclerk collects the details you provide to assess your suitability for a role and communicate with you about your application.

What we collect

Your name, email, the role you apply for, and any optional phone number, CV, profile or portfolio link and cover note you provide. The hiring team may also record assessment and interview notes. Name and email are needed to process your application; other fields are optional. Please include only information relevant to the role.

Who can access it

Applications and hiring notes are restricted to authorised hiring administrators. We use Vercel for hosting and browser security checks, and Supabase for authentication and private storage. Uploaded CVs are checked for unsafe content and malware before hiring staff can download them. We do not automatically fetch files from CV or profile links you supply.

How long we keep it

Unsuccessful and withdrawn applications are scheduled for deletion 90 days after recruitment ends for that application. If you separately opt in, we may retain your details for future roles for up to 12 months from your consent. This choice is optional and does not affect the current application; it is not permission for marketing.

An ongoing application may need to be retained while recruitment continues. Successful applicants’ information may be needed for employment records; those records follow the employment retention process rather than the unsuccessful-applicant schedule.

Deletion removes your personal application details and hiring notes from the ATS. New CV downloads are blocked immediately; any previously issued download link expires within 60 seconds. File cleanup runs in the background, normally within three hours. Service outages may delay cleanup; access remains blocked and cleanup is retried. A record that an application was deleted remains without your name, contact details or application text. Backups may retain prior copies until their normal expiry; they are not used for recruitment, and deletion requests must be reapplied if a backup is restored.

Your choices and requests

You can request access to, correction of, or deletion of your application, withdraw your application, or withdraw consent to keeping your details for future roles. Email hello@airclerk.ai and identify the role you applied for. We will verify your identity before acting on a request. Do not email identity documents unless we specifically request them through an appropriate channel.

Security checks

We use Vercel BotID and submission limits to reduce automated abuse. Technical request information, such as your IP address, may be processed for these checks. Rate-limit identifiers stored by this app are hashed and scheduled for removal after two days without activity. Browser verification requires JavaScript.
